Covid-19 Mitigation
Venue Requirements
Due to general circumstances, we are going to have limitations and requirements on venue usage defined by the venues, as well as items we have defined ourselves as common sense health and safety in line with our insurance.
Lateral Flow Tests
We strongly recommend that attendees take a lateral flow test prior to attendance. A set of seven tests can be obtained here for delivery at no cost, or you can find a pharmacy with them available for collection here.
Venue Access
Newbury Sea Cadets
- Rooms: we will have access to the Main Hall, Mess Hall, and Ward Room for games. The room at the back of the main hall will not be available for use as it is still being refurbished.
- Covid-19 App: there is a QR code in the main hall for anyone still using the app.
Masks and Hand Sanitiser
Correctly-worn (i.e. over nose and mouth) masks are preferred at both venues.
Hand sanitiser will be provided at both venues for use on arrival and as felt needed for those able to use it.
Set Dressing
We will staying light on cloth set dressing due to the difficulties with cleaning for every event. We will be aiming to still use physical props such as electric candles for dark ages, candlesticks, etc, but would advise that they are for decoration and that you should avoid touching them wherever possible.
Smoking/Vaping
Due to the increased risk from these activities meaning that we should keep them away from general passage, we will be assigning specific smoking areas for each venue.
- Newbury Sea Cadets: this will be around the garage area, down the slope down from the kitchen exit.
Game Times, Payments, & Attendance
Social distancing has significantly reduced the quantity of people that are recommended in the venues, and also means that we are required to clean following the game. Due to this, times are changed slightly, and we will be providing advanced booking for attendance.
Game Times
For both venues, the games will follow the following basis:
Newbury Sea Cadets
- Game 1 (Werewolf/Sabbat): 1:15pm announcements, 1:30pm start, 5pm finish.
- Game 2 (Camarilla/Dark Ages): 6:45pm announcements, 7:00pm start, 10:30pm finish.
Following game, can people please exit the venue promptly if not part of the cleaning team.
Cleaning
We will need to do a thorough clean after each game. We are looking to have a small team doing this after each game, it will require cleaning all furniture and props used. If you wish to volunteer as part of that team, please let the committee know.
Payments
We would prefer to take payment by debit/credit card wherever possible. Subscriptions and online payment will be setup in the near future as well.
Attendance
Each venue has recommendations on the numbers we can safely accommodate. Newbury Sea Cadets hall recommends 35 attendees. We will be attempting to set the room up in such a way as to enable social distancing where possible.
Due to limiting of numbers, Mike will be setting up a mechanism for advance booking, with the following criteria:
- Bookings are individual and first come, first served.
- Anyone that does not book and turns up on the day will also be on a first come, first served basis for any spare spots.
- If someone has not turned up by time in for the game (1:30/6:30), their spot will be passed to any on-the-day arrivals on a first come, first served basis. The only exception to this is if a travelling player has called ahead to advise of traffic/travel issues with an eta, in which case the spot will be held for them.
- If someone repeatedly books on and fails to attend, they will be refused the ability to book going forwards.
The Register
Keeping of the register is now online, and will extend as follows:
- The register will continue to track Player Name, Character Name, and Payments
- Mike’s phone number will be made available for attendees in case someone discovers after an event that they may have had Covid-19 at the time of the event.
